General Questions

Stayzilla is an enterprise hostel management software designed specifically for student accommodation providers. It brings all hostel operations — attendance, discipline, inventory, finance, student services, and parent communication — into one unified digital platform.

Stayzilla is built for hostel owners, operators, and administrators managing student hostels of any size — from a single branch with 50 students to a multi-city network with thousands of residents. It includes separate interfaces for Super Admins, Wardens/Staff, Students, and Parents.

No. Stayzilla works equally well for boys' hostels, girls' hostels, co-ed accommodations, and PG facilities. The platform is gender-neutral and can be configured for any type of student residential facility.

Stayzilla was founded in Varanasi, Uttar Pradesh, India. Our team operates across North India, and we serve hostel operators in multiple cities including Varanasi, Allahabad, Lucknow, Kanpur, and Delhi.

Currently, Stayzilla operates in English. We are working on Hindi language support for future releases. The interface is simple enough that Hindi-speaking staff adapt quickly with minimal training.

Features

Yes. Stayzilla is built with a multi-branch architecture at its core. The Super Admin can manage unlimited branches across different cities and states from a single login. Each branch has its own staff, students, and reporting, while aggregated data appears on the central HQ dashboard.

Stayzilla's discipline module lets wardens log conduct incidents with three severity levels: Red (critical, requires immediate parent notification), Yellow (policy breach, formal warning), and Blue (minor, logged for monitoring). Photo evidence can be attached to each incident. Parents are automatically notified based on severity.

Yes. Parents get their own dedicated portal where they can view their child's attendance, conduct records, fine history, gate pass status, upcoming parent meetings, fee dues, and hostel announcements. This dramatically reduces parent phone calls to the hostel.

Students apply for gate passes (leave requests) through their portal with destination, dates, and purpose. Wardens review and approve or reject with a note. Approved passes specify a return time. Parents are notified when their child's pass is approved and when they are expected to return. The system keeps a full audit log.

Admins can bulk-import student data from Excel using our template. All reports — attendance, fines, expenses, inventory — can be exported to Excel. The platform also includes city and state reference sheets for standardized data.

Yes. Face recognition attendance is available on the Enterprise plan. Students register their face once. Attendance can then be marked by scanning — no physical contact or manual rolls required. This is particularly useful for large hostels with hundreds of students.

Yes, absolutely. Stayzilla hostel management software is 100% free to use. There is no subscription fee, no monthly charge, and no credit card required to get started. Every feature is included at zero cost — from attendance and fine collection to discipline management, inventory, and parent portal.

No. There are no hidden fees whatsoever. The software is completely free. The only optional paid services are things like on-site setup assistance, dedicated onboarding support, or custom development work — and those are quoted upfront only if you choose to request them.

There is no catch. We believe every hostel owner in India deserves access to powerful management tools, regardless of size or budget. Most hostel software charges ₹8,000–₹15,000 per month, making it inaccessible for small and mid-size hostels. Our mission is to digitize hostel management across India and we're funded by our commitment to that mission.

Yes. Our core software will always remain free for all hostel operators. We are committed to this model. If we ever introduce paid add-on services in the future, the core platform functionality will remain free and we will communicate clearly in advance.

No. There are no artificial limits on the number of students, branches, or staff users. You can manage a single-branch hostel with 30 students or a multi-city chain with 2,000 students — all for free.

Setup & Onboarding

Most hostels are fully operational on Stayzilla within 1–3 days. We help you configure branches, import student data via Excel, and set up staff accounts. For Enterprise customers, we provide on-site training and a dedicated onboarding manager.

Not at all. Stayzilla is designed to be used by hostel owners and wardens — people who run hostels, not IT departments. The interface is intuitive, and most staff can start working productively within a few hours of first use.

Yes. If you have student data in Excel or another spreadsheet format, we can help you clean and import it into Stayzilla using our bulk import feature. For complex migrations from other software, our team can assist.

Yes. All plans include onboarding training via video call. Enterprise plans include on-site training at your hostel. We also provide video tutorials, a help documentation center, and ongoing support via WhatsApp.

Security & Privacy

Stayzilla stores all data on encrypted servers. Data is encrypted both at rest and in transit (TLS 1.3). Only authorized roles can access specific data — for example, a branch warden can only see their branch's students and data.

Conduct records are accessible to the involved student, their registered parents, the warden who filed the incident, branch managers, and Super Admins. Students cannot see each other's records. Parents can only see their own child's records.

No. Stayzilla does not sell or share student, parent, or hostel data with any third party for commercial purposes. Data is used solely to operate the platform. Please see our Privacy Policy for complete details.

Yes. You own your data. Before cancelling, you can export all student, financial, and operational records to Excel. Upon request, we will delete all your data from our servers within 30 days of account closure, in compliance with data protection regulations.

Professional plan users typically get responses within 4–8 business hours. Enterprise customers get priority support with a 4-hour SLA. For critical issues affecting core functionality, we escalate immediately regardless of plan.

Yes. All plan holders receive platform updates at no additional cost. New features, bug fixes, and performance improvements are deployed regularly. Major updates are announced in advance so your team can prepare.
